Payment Gateway Fee Structures and Smarter Invoicing for Freelancers
Nearly every payment processor charges the same way: a percentage of the transaction plus a small fixed amount per successful charge. On a $100 invoice a 3.49% + $0.49 structure costs $3.98, but on ten $10 invoices the same structure costs $8.39 — the fixed component is what quietly destroys margins on small tickets. Batch small jobs into one invoice wherever the client allows it.
Cross-border payments add another layer. International cards, currency conversion and non-domestic accounts typically add one to two percentage points, and conversion is often applied on top of an already marked-up exchange rate. If you invoice overseas clients regularly, quote in your own currency, hold a multi-currency account where possible, and price the spread into your rate rather than absorbing it after the fact.
The reverse calculation matters just as much. When a contract specifies a net payment, invoicing that exact figure leaves you short. Gross up with the formula (net + fixed fee) ÷ (1 − rate) so the fee comes out of the final amount rather than your margin. Fees on business income are usually a deductible expense, so keep the processor statements alongside your invoices for bookkeeping.
